How we replaced paper-based records with a digital asset management platform, automating compliance tracking and giving customers self-service access to certificates.
The Challenge
HoseFleet provides hose testing and certification services to businesses across a range of industries. Every hose and piece of equipment they test needs to be tracked, certified, and regularly re-inspected to meet compliance requirements.
Before working with us, this entire process was manual. Asset records were kept in paper files and spreadsheets. Certificates were generated by hand and filed away in cabinets. Tracking which certificates were due for renewal meant manually checking dates against long lists of equipment - a process that was time-consuming and easy to get wrong.
The risk of missing a certificate renewal was real, and the consequences for their customers could be serious. HoseFleet needed a system that could manage the full lifecycle of every asset they tested, automate the compliance reminders, and give their team confidence that nothing was slipping through the cracks.
On top of that, their customers had no way to access their own certificates without picking up the phone. Every request for a copy of a certificate meant admin time for the HoseFleet team.
What We Built
We built a digital asset management platform that tracks the full lifecycle of every hose and piece of equipment HoseFleet tests and certifies.
Each asset has a complete digital record - from initial inspection through to certification, renewal dates, and full service history. The system automatically generates certificates when tests are completed and stores them against the relevant asset record, eliminating the need for manual paperwork.
Automated reminders are sent when certificates are approaching their renewal date, giving both HoseFleet and their customers advance notice. This ensures nothing is missed and removes the burden of manually tracking expiry dates across hundreds of assets.
We also built a client portal that allows HoseFleet's customers to log in and access their own certificates and asset records directly. This self-service feature drastically reduced the number of phone calls and emails the admin team had to handle for simple certificate requests.
All records are fully searchable, so finding a specific asset, certificate, or customer record takes seconds rather than minutes spent digging through filing cabinets.
